The Arab American University is seeking to hire a secretary / administrative assistant at the university campus in Ramallah on a temporary full-time employment contract.

The employee is expected to be organized, cooperative, maintain confidentiality and professionalism in performing duties, organize and manage the work of the faculty or department in which s/he works. The employee is also expected to coordinate daily activities to ensure smooth workflow.

Duties and Responsibilities:

 

  1. Organizing and managing incoming and outgoing mail, reports and documents.
  2. Typing official letters, reports and correspondence in Arabic and English.
  3. Answering phone calls and emails and direct them to appropriate sources.
  4. Maintaining electronic and paper files and to perform documentation and ensure the availability of documents in an easily accessible manner.
  5. Preparing and arranging the necessary reports and documents for the director.
  6. Providing administrative support to the director, coordinating and organizing meetings, and ensuring the availability of the necessary documents and papering for these meetings.
  7. Communicating with members of the academic and administrative staff, students, visitors, and other parties in a courteous and professional manner.
  8. Effective cooperation and communication with various academic and administrative departments and other offices at the University.
  9. Providing logistical support to support events and activities and assisting in their implementation.
  10. Following up on deadlines with members of the academic and administrative stuffs to ensure the availability of the necessary documents and reports on the specified dates.
  11. Communicating with the concerned parties to provide the materials, stationery, and office supplies necessary for daily work.
  12. Maintaining the confidentiality of information and files.
  13. Maintaining office equipment and following up on regular maintenance with the concerned offices.

Qualifications Skills Required for the Job:

  1. The applicant must have a bachelor’s degree in one of the administrative sciences specializations.
  2. The applicant must have at least one year of work experience in the field of secretarial or administrative work at an academic institution.
  3. The applicant must master computer skills Ms. Office.
  4. The applicant must be proficient in English language.
