Access to Information and Data Confidentiality Policy

AAUP is committed to upholding the right to access information while ensuring privacy and confidentiality. The university adheres to the following principles and limitations regarding access to information:

1. Affirmation of the Right to Access to Information:

   • AAUP reaffirms that access to the university information is a fundamental right that drives transparency, accountability, and societal development.

   • AAUP acknowledges the growing significance of this right in the digital age, where the rapid expansion of information necessitates greater accessibility and awareness are needed.

   • While advocating for open access, AAUP also recognizes that this right is not absolute and must be balanced with privacy and confidentiality protections.

      

2. Protection and Preservation of Information:

   • AAUP is committed to safeguarding and maintaining the right of relevant stakeholders to access information.

   • Simultaneously, AAUP ensures the protection of private and sensitive information belonging to faculty, staff, students, and patients, respecting their right to confidentiality.

   • This commitment is upheld through AAUP bylaws and regulations, which are regularly reviewed and updated to align with best practices.

      

3. Transfer of Information to Third Parties:

   • AAUP strictly adheres to legal and regulatory frameworks governing the transfer of information to third parties, particularly regarding medical and sensitive data.

   • AAUP ensures that informed consent from the concerned party is always obtained before any disclosure of personal information.

4. Confidentiality of University Records:

   • AAUP is dedicated to maintaining information confidentiality and takes all necessary precautions to prevent any unauthorized disclosure that could impact individuals or the institution.

   • AAUP enforces strict control measures to ensure that any disclosure of information aligns with the principles outlined in this policy.

   • AAUP embraces advancements in the digital age, IT, and AI to enhance both access to information and data protection. Examples include the digitization of the AAUP library, open access to research, and transparent dissemination of bylaws and regulations on the university’s website.

To ensure the effective implementation of this policy, AAUP will:

1. Appoint designated individuals or offices responsible for overseeing the implementation, communication, and monitoring of this policy.
    

2. Develop clear procedures and guidelines to manage the disclosure, evaluation, protection, and proper handling of information
    

3. Provide necessary resources and support for effective information management, leveraging technological advancements as an opportunity to enhance accessibility and data protection.
    

4. Conduct regular reviews and updates to ensure compliance with evolving legal standards and address the changing needs and expectations of the university community.

The following measures (indicators) can be used to assess the effectiveness and utilization of this policy:

1. Regulations and Bylaws: Evaluation of university regulations to determine how effectively they uphold the right to access information while addressing confidentiality concerns.
    

2. University Website: Assessment of AAUP website as a primary source of information, ensuring accessibility, transparency, and comprehensiveness.
    

3. Training Sessions: Tracking the number of training sessions conducted for faculty, staff, and students to raise awareness about access to information and data confidentiality.
    

4. Technology Updates: Monitoring the implementation of technological advancements that enhance access to information while maintaining data security and privacy.
