The Arab American University announces an opening for “Secretaries”, at the Ramallah Campus, on a full-time, fixed-term contract.
Candidates are expected to be organized, collaborative, and professional. Primary duties include managing and organizing documents and files, as well as coordinating daily activities to ensure a smooth and efficient workflow."
Duties and Responsibilities:
- Accurately organize and manage incoming and outgoing mail, reports, and both electronic and paper documents.
- Prepare and draft correspondence and reports in both Arabic and English.
- Maintain electronic and paper filing systems and documentation, ensuring documents are easily accessible.
- Manage and organize appointments, schedule meetings, and ensure the availability of all necessary documents and reports.
- Coordinate with faculty members, staff, and students regarding academic and administrative affairs.
- Arrange travel procedures for the direct supervisor’s missions abroad.
- Greet visitors, handle inquiries courteously, and provide effective guidance.
- Answer phone calls and direct callers efficiently.
- Coordinate and manage daily office activities to ensure tasks are completed accurately and promptly.
- Maintain office equipment and follow up on routine maintenance with the relevant departments.
Qualifications and Skills Required for the Job:
- Bachelor’s degree in Business Administration, Bachelor’s degree or Diploma in Business Administration, Management Information Systems (MIS), or any related field.
- Minimum of one year of practical experience in an academic institution.
